We are seeking a proactive, enthusiastic, and detail-oriented Team Assistant based in Singapore to provide administrative and coordination support to teams across Hong Kong and Singapore. This role is ideal for an individual who enjoys working in a fast-paced environment, is eager to learn, and takes initiative to solve problems and improve processes.
The successful candidate will support day-to-day team operations, help coordinate meetings and travel arrangements, and ensure administrative activities are executed efficiently. This role offers an excellent opportunity to gain exposure to a dynamic regional business environment and develop strong professional and organizational skills.
Key Responsibilities
- Provide day-to-day administrative support to team members across Hong Kong and Singapore.
- Assist with scheduling meetings and managing team calendars where required.
- Coordinate external meetings and team events, including scheduling and logistics arrangements.
- Support the planning and execution of team meetings, workshops, and events.
- Assist in preparing meeting materials, presentations, reports, and other business documents.
- Support onboarding activities for new team members, including coordination of equipment, access requests, and documentation.
- Coordinate travel arrangements, including flights, accommodation, transportation, and travel itineraries.
- Support the preparation and submission of expense claims in accordance with company policies.
- Assist with procurement requests, invoice processing, and vendor coordination as needed.
- Support ad hoc projects and initiatives assigned by managers.
Qualifications & Experience
- Diploma, degree, or equivalent qualification.
- 4-6 years of experience in administrative, team support, coordination, or related role.
- Ability to manage multiple priorities and work effectively in a fast-paced environment.
- Strong organizational skills and attention to detail.
- Demonstrated ability to handle confidential information with professionalism and discretion.
- Proficient in Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and Teams.
- Strong communication and articulation skills
